How Fonitix works for event venues

Fonitix answers for your venue: it takes the event type, the guest count and the dates, books the tour, and hands the quote and the deposit to your coordinator. It never holds a date by itself.

What the agent does

  • Saves each request with the details your team needs and marks urgent ones.
  • Books clients into free times in your calendar.
  • Answers questions about your spaces and packages, prices and hours using your own answers.
  • Speaks as your events coordinator, in the words of your business.

What you tell Fonitix

A few questions when you set up, so the agent knows your business:

  • Which spaces or rooms do you rent, and how many guests does each hold?
  • What packages do you offer, and from what price?
  • What is your deposit and cancellation policy, and when is a date held?
  • House rules: music cut-off, alcohol, outside caterers, set-up times.

An example call

CallerWe are planning a wedding for 120 people next June.
FonitixCongratulations. The Grand hall holds 200 seated. What date would you like, and any alternates?
CallerJune 14th, or the 21st.
FonitixNoted. The coordinator confirms dates. May I book you a tour this week?

An example of the kind of call it handles. Your agent uses your own services, prices and hours.

What you get in your dashboard

  • A calendar with your team and services
  • A work board with stages that match your trade
  • A card for every customer, with their calls and visits
  • Intake forms and documents
  • Estimates and invoices
  • Payment links and deposits
  • Reminders by text or email
  • Urgent calls marked and brought to your attention

What the agent will not do

  • Take a card number over the phone: it sends a secure payment link instead.
  • Make up prices, times or promises: it uses only what you have given it, and takes a message when it does not know.

Set up in four steps

  1. Choose event venues when you sign up, so Fonitix uses the right words for your venue.
  2. Check the example spaces and packages and answer a few questions about your business.
  3. Get your own phone number for the agent and make a test call.
  4. Share the number. Calls turn into events in your dashboard.
